Using screen shots of software and interactive resources

What are screen shots?

Screen shots or screen dumps are still images taken of an active computer screen whilst a program or product is in operation. Screen shots are often used in training materials to explain how a computer program or product functions (database, interactive tool, game, etc). Screen shots taken of software or interactive products often fall within the licence terms of that product or program.

How can I use screen shots?

Check the licence requirements for the computer program or product from which the screen shot has been taken. Licence requirements for computer programs can be found on the company websites (if not within the actual product) of the software companies. Monash ITS have more information about software licensing at Monash University.

General rules

The following general rules are common to most licences:

  1. Always include an acknowledgement of the product and be as specific as possible - eg "Screenshot of Biology course built using WebCT 3.7 Campus Edition" or "Adobe product screen shot reprinted with permission from Adobe Systems Incorporated."
  2. Do not use screen shots in a way that is disparaging of the product or the product company.
  3. Do not use screen shots in a way that implies an endorsement of Monash materials by the product company.
  4. Do not use screen shots that contain material that is not owned by the product company without seeking permission from the copyright owners of the third party material (this includes logos and trademarks of other companies).
  5. Do not use screen shots from beta products or unreleased products.
  6. Do not use screen shots for commercial purposes without obtaining permission from the software company.
  7. Screen shots may be re-sized but you should not alter the screen image and/or title bars, drop down lists, dialogue boxes, or icons. Screen shots should appear as they would in the software product.
